This is a working draft written for a US-based marketing agency. Have a lawyer in your state read it before it goes live, and fill in every underlined field first.
1. Who we are
This site is operated by SEOFORHVACBUSINESS, a marketing agency working with residential heating and cooling contractors in the United States. Our mailing address is on file at the address listed on our contact page, and privacy questions go to hello@seoforhvacbusiness.com.
This policy covers this website and the work we do for clients. It does not cover the websites we build or manage for clients, which have their own policies.
2. What we collect
Two kinds of information. What you give us, and what your browser reports automatically.
- Details you type into the audit or contact form: company name, service area, website address, phone number and email address.
- Anything you send us by email, phone or text in the course of asking about our services.
- Standard analytics data: pages viewed, time on page, approximate location by city, referring source, device and browser type.
- If you call a tracked number on this site, the call may be recorded and the number you called from stored. We say so on the call.
3. Why we hold it
To reply to your enquiry, prepare the audit you asked for, quote the work, and run the engagement if you hire us. To keep our own records for tax and accounting. And to understand which pages on this site are doing their job.
- We do not sell your information.
- We do not share it with other contractors, including your competitors.
- We do not add you to a mailing list unless you ask to be on one.
4. Consent and choice
Submitting a form is your consent for us to contact you about that enquiry. You can withdraw it at any time by replying to any message and telling us to stop, and we will. If you are contacting us from a state with its own privacy statute, the rights in section 8 apply to you as written.
6. Who else touches the data
We use a small number of service providers, each of which holds data under its own terms. Replace this list with the tools you actually run before publishing.
- Website hosting and form delivery: hosting provider
- Analytics and search reporting: Google Analytics and Google Search Console
- Call tracking, if enabled on your number: call tracking provider
- Email and document storage: email provider
7. How long we keep it
Enquiries that do not become clients: 24 months, then deleted. Client records: seven years after the engagement ends, because tax and contract records require it. Analytics data: as configured in the analytics tool, currently 14 months. Call recordings: 90 days.
8. Your rights
Wherever you are in the United States, we will honour these on request, at no charge, within 30 days.
- Ask what we hold about you and get a copy.
- Have it corrected if it is wrong.
- Have it deleted, except records we are legally required to keep.
- Tell us to stop contacting you.
- Ask us not to sell or share it, which is easy, because we do not.
9. Security
The site runs over HTTPS, form submissions are transmitted encrypted, and access to enquiry records is limited to the two people who run the business. No system is perfect. If a breach affects your information we will tell you and the relevant authority as the law requires.
10. Children
Our services are sold to businesses. We do not knowingly collect information from anyone under 16. If we learn that we have, we delete it.
11. Changes to this policy
When we change this policy we update the effective date at the top. Material changes will be noted on this page for 30 days. Continuing to use the site after a change means you accept the current version.
